Reports To: Senior Director of Development and Executive Engagement

Status : Full-time; Non-exempt

Location : Washington, DC (Hybrid)

Salary Range: $85,000 - $91,000

Position Summary

The Associate Director of Executive Engagement will provide overall administrative support to the Executive Director and Deputy Executive Director of Campaigns to ensure that they are fully prepared to run our organization every day. The Associate Director of Executive Engagement provides materials, agendas, and background information and takes on special projects to ensure the smooth and efficient operation of the office of the Executive Team. The Associate Director of Executive Engagement also serves as back-up administrative support for the COO and Deputy Executive Director of Strategy and Innovation. 

As the Associate Director of Executive Assistant to the Executive Team you will:

Executive Engagement (70% of your time): 

  • Work synchronously with the Executive Director and Deputy Executive Director of Campaigns (referred to below as Executive Team) to manage and maintain calendars, activities, and various special assignments - including scheduling travel and conferences, making and updating appointments.
  • Prioritize scheduling needs for Executive Team members
  • Frequently meet with the Executive Team to align on prioritie s and tasks
  • Manage Executive Team correspondence by reading and analyzing agendas and memos, determining significance and routing to appropriate personnel in a timely and efficient manner
  • Prepare and distribute agendas, minutes, reports and other key documents and collect and analyze information for meetings
  • Attend meetings and memorialize discussions, prepare briefing materials, coordinate follow-up materials, and report out action items
  • Collaborate with the Campaign Teams to coordinate meetings with partner organizations, independent consultants, and key individuals on behalf of the Executive Team
  • Work closely between the Executive and Operations teams to coordinate and manage the logistics of key events
  • Track expenses and manage administrative records of the Executive Team
  • Support the Executive Team on special projects, especially related to event planning, management support, and external stakeholder meetings
  • Coordinate with Senior Leadership and Operations team for weekly reports for both the Executive Director and COO
  • Serve as back-up administrative support for the COO and Deputy Executive Director of Strategy and Innovation
  • Performs other related duties as assigned
 

Development (30% of your time):

  • Work closely with the Senior Director of Development and Executive Engagement to prepare the Executive Team for donor meetings, trips, and events by creating briefing materials, memos, and other necessary information
  • Work closely with the Senior Director of Development and Executive Engagement and the Operations and Executive Engagement Manager to manage grant tracking process and additional Development responsibilities  
  • Support the Senior Director of Development and Executive Engagement in tracking donor communications and priorities, helping the Senior Director of Development and Executive Engagement and the Executive Director coordinate regular and bespoke outreach to donors and donor advisors 
  • Performs other related duties as assigned

About you

  • You have a minimum of 5-7 years of relevant work experience, ideally including experience supporting or working closely with C-suite leadership.
  • You are well-practiced in managing up, highly organized, reliable, and comfortable in a fast-paced environment working under tight deadlines
  • You have strong interpersonal skills and and are comfortable collaborating with a team while taking ownership of your piece of a project
  • You are flexible with a penchant for problem solving, looking around corners, and for thinking on your feet
  • You are a strong written and verbal communicator, eager to dive in and tackle whatever obstacle crosses your path
  • You are comfortable navigating confidential relationships and handling highly sensitive personnel and/or funding information with tact

Benefits

Comprehensive benefits package that includes 100% employer-paid health, dental, and vision insurance for employees (and their families). Employees are able to enroll in 401k retirement plan and are eligible for a 3% automatic contribution and up to a 3% employer match on 401k contributions. Employees are also eligible for pre-tax transportation benefits. Employees will receive 120 hours of vacation time, 80 hours of health leave, up to 2 days of casual leave, and 20 hours of volunteer leave annually. Employees will also receive 13 paid holidays throughout the calendar year. Employees are eligible for 12 weeks of paid family and medical leave after 90-days of employment.
