Job Description

A doctor's office receptionist is the primary point of contact, responsible for greeting patients, scheduling appointments, handling multi-line phones, and managing check-ins/check-outs. Key duties include updating patient records, verifying insurance, collecting co-pays, maintaining HIPAA compliance, and managing office inventory.

Primary Duties and Responsibilities

Patient Greeting and Reception: Welcomes patients and visitors, maintains a clean and organized waiting area, and provides a calm, professional environment.

Scheduling and Appointment Management: Schedules, reschedules, and cancels patient appointments, often optimizing provider time and ensuring a steady workflow.

Patient Check-In and Check-Out: Verifies patient insurance coverage and identity, collects co-pays, and manages balances.

Information Management: Maintains accurate patient records in the Electronic Health Records (EHR) system, ensuring all data is up-to-date and compliant with regulations.

Phone Management: Answers, screens, and directs calls; handles patient inquiries regarding appointments or simple billing questions.

Administrative Support: Manages incoming/outgoing mail, orders office supplies, and maintains office equipment.

HIPAA Compliance: Protects patient confidentiality by securing personal and financial information.

Required Skills and Abilities

High School Diploma required

Communication: Exceptional verbal and written skills for communicating with patients, doctors, and pharmacists.

Organization: Strong multitasking skills to manage a fast-paced environment.

Technology: Proficiency with EHR software, word processing, and multi-line phone systems.
