Job Description

Southwest Virginia Community Health Systems (SVCHS) is seeking an experienced and highly motivated Medical Site Manager to oversee the daily operations at our Meadowview Community Health Center. This leadership role is responsible for ensuring exceptional patient experiences, efficient clinic operations, staff engagement, and the delivery of high-quality care in a professional, supportive, and patient-centered environment.

The Medical Site Manager plays a critical role in coordinating staff, optimizing patient flow, supporting providers, and ensuring operational excellence that advances our mission of high quality, coordinated care to the communities we serve.

This position serves as a key member of the site leadership team and collaborates closely with clinical, operational, compliance, and administrative leaders to support a forward-thinking healthcare environment focused on quality, access, and patient satisfaction.

Key Responsibilities

Clinic Operations & Patient Experience

  • Oversee day-to-day site operations to ensure efficient patient flow and exceptional service delivery.
  • Support a patient-centered culture focused on accessibility, quality, and patient satisfaction.
  • Assist patients with inquiries, concerns, and service-related issues while promoting positive patient relations.
  • Serve as a backup resource for front office operations as needed.
  • Monitor operational processes to ensure timely, coordinated care and efficient service delivery.
  • Support collection of patient feedback and satisfaction surveys and identify opportunities for improvement.
  • Ensure daily deposits are prepared and delivered according to organizational procedures.
  • Oversee daily accounts receivable collection activities for the site.

Staff Leadership & Team Development

  • Directly supervise clerical support staff.
  • Coordinate scheduling for providers, nurses, reception staff, and support personnel to maintain appropriate clinic coverage.
  • Manage employee timekeeping, attendance, and PTO requests.
  • Conduct orientation, annual, and special performance evaluations.
  • Support employee onboarding, training, and ongoing professional development.
  • Foster a supportive and collaborative work environment that promotes teamwork, accountability, and service excellence.
  • Motivate staff, delegate responsibilities effectively, and follow through on operational priorities.
  • Ensure staff compliance with SVCHS policies, procedures, and organizational standards.

Quality, Compliance & Safety

  • Participate in Performance Improvement activities and committees as assigned.
  • Coordinate clinical concerns with the Clinical Director, Medical Director, CMO, or other designated clinical leaders.
  • Refer patient complaints and compliance concerns through appropriate organizational channels and assist in developing solutions.
  • Ensure timely reporting of incidents, accidents, and significant operational occurrences.
  • Conduct and document fire, disaster, and active shooter drills in accordance with organizational requirements.
  • Support regulatory compliance, quality initiatives, and risk management efforts.

Administrative Leadership

  • Direct monthly site meetings and prepare meeting minutes for leadership review.
  • Support quarterly Advisory Board meetings and submit meeting minutes to the COO.
  • Coordinate internal communications and the distribution of correspondence.
  • Manage site supply ordering and inventory processes to ensure adequate operational resources.
  • Assist Human Resources with recruitment and interview activities as needed.
  • Sort and distribute mail and oversee other administrative functions necessary for efficient clinic operations.
  • Collaborate with clinical and operational leaders to ensure appropriate staffing and resource allocation.

Required Qualifications

Education

  • High School diploma or equivalent required.

Experience

  • Minimum of five (5) years of management or supervisory experience, preferably in a healthcare setting.
  • Minimum of two (2) years of administrative or secretarial experience.
  • Experience leading teams, managing schedules, and coordinating daily operations.
