Job Overview

Thebes USA, the U.S. office of Thebes Consult, an international advisory and consulting firm, is seeking a highly organised and professional Virtual Assistant to join our team. Thebes Consult specialises in providing expert legal, regulatory, investment, and compliance advisory services to a global clientele, with offices in Egypt, Azerbaijan, the UAE, and the USA. This is a full-time , remote position based in the Texas City, Texas, United States area. The successful candidate will be an integral part of our operations, providing comprehensive administrative support to ensure the efficiency and success of our U.S. team. The offered compensation for this role is between $30.00 - $45.00 USD per hour , commensurate with experience.

Responsibilities

* Manage and maintain executive calendars, including scheduling appointments, internal/external meetings, and conference calls.
* Handle professional correspondence, including monitoring and responding to emails on behalf of the team.
* Prepare, format, and proofread a variety of documents such as reports, presentations, and legal correspondence.
* Conduct research on regulatory updates, market trends, and other topics to support consulting projects.
* Organise and maintain digital files, ensuring all documentation is managed with the highest level of confidentiality and accuracy.
* Assist with client onboarding processes and maintain client relationship management (CRM) records.
* Provide general administrative support, including data entry, expense reporting, and coordinating virtual events.
* Liaise professionally with clients, partners, and team members across different time zones.

Qualifications

* Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative capacity.
* Exceptional organisational, multitasking, and time-management skills with a keen eye for detail.
* Excellent written and verbal communication skills.
* High level of proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual collaboration tools.
* The ability to work independently, take initiative, and manage tasks proactively.
* Utmost discretion and a proven ability to handle confidential and sensitive information.
* Experience within the legal, financial, or professional services industry is highly desirable.
* A bachelor's degree in Business Administration, Communications, or a related field is preferred but not required.
